Minutes [DRAFT]
Minutes
- Call to order - 2:13 PM

- Attendance: (all present) - 2:13 PM
- James
- Francesca
- Suyash
- Gabe
- Xander
- Public comments - 2:13 PM
- Lakshya (proposal for Admin/DASG)
- TEDx helps DASG/Admin w/ organizing presidential debate -> presented under TEDx De Anza hosted by DASG
- TED will handle logistics, Admin will plan it under the DASG name
- Can provide more legitimacy due to the TEDx name
- Dennis: if they can help promote it, it’s cool, but making it a TEDx event wouldn't make sense -> more work than it’s worth
- Lots of conflict of interest
- Verdict: unanimous no
- Lakshya (proposal for Admin/DASG)
- Advisor announcements - 2:16 PM
- SSCCC General Assembly - figure out who else is going beyond PPS Liaison
- Essentially a 3-day long senate meeting split into segments
- Will need to ask for more money due to money spent at CCCSAA
- $550 registration per student beyond PPS Liaison
- Priority: President, Trustee, SRE, Admin, Finance, ES
- 3 days; Mar 27-29
- Early morning Friday during finals week
- Registration deadline = mid Jan
- 1333 Bayshore Hwy Burlingame -> options = public transit, driving, carpools
- In admin: only one who can go is Gabe
- Maritza - happy to be back but will need time to catch up on emails
- Do the scholarship tasks on time
- RAPP - do not leave out the OCL director position; OCL does not have the stability
to do its best work if there is no confirmed director and therefore no confirmed Student
Activities Coordinator and Flea Market Coordinator (also temporary due to Director
status)
- James: it is high on the priority list, but it will still be in temporary position status rest of year
- Maritza: it’s from Fall ‘24 -> information is mixed
- SSCCC General Assembly - figure out who else is going beyond PPS Liaison
- Shared governance reports - 2:25 PM
- Request for information people want on the report (I have it handled but I want to know if there is anything people believe should be there)
- DASG senators in RAPP will meet this week to determine what their one vote will be; will send it to College Council
- Gabe - SSCCC delegate reports due 11/24
- Suyash - CPC meeting cancelled
- James - RAPP
- Brief Elections Check Up & Preparation - 2:27 PM
- Info session schedule
- Do it before winter application for candidates is due
- 3 for week 3 (Jan 19-23), 3 for week 4 (Jan 26-30), 1 minimum week 5 2 hrs before deadline (Feb 2)
- Similar system as this quarter
- Date+time for cert + complaint meeting
- Fran: table this item until Fran + Suyash have their schedules for next quarter?
- Maritza: this doesn’t need to be a meeting item; this can all be discussed online
- Time for Admin complaint meeting: send some other time when we have our new schedules
- All dates need to be set before Winter quarter
- That way, if students are here and interested in applying, they know what all the dates are
- Candidate forms
- We do not have the forms to sign up to be a candidate yet, but the plan is for it to be a duplicate of last year’s unless we decide to make changes
- If we do make changes, Dennis can have it ready today no changes
- It needs to be posted on the first day of winter quarter
- We have to have this before Winter quarter starts
- Presidential Debate event
- Presidential debate questions
- QR code made available during the event
- Questions submitted thru form are vetted
- Admin committee comes up with some questions
- Ask over Insta and/or Discord?
- Day of -> create a form and ask questions if they are appropriate and there is enough time
- Food/Catering
- Costco pizza? Tasty pizza? Sandwiches? -> easier to grab and eat while talking
- Decision: catering basic stuff towards the end of the event
- How many people should we get food for and what kind?
- 200 people
- Home eats -> not a table event, so it could be messy (theater style seating)
- Pizza
- Have popcorn at the beginning
- Drinks or whatever
- Verdict: popcorn+pizza
- Food -> line of transfer from supplies to food
- Not too late to request funding; we can always request funding
- Event structure
- Debate, food, intro of other candidates, mixer/seconds
- 2 sections -> current senators, students
- Presidential debate questions
- Info session schedule
- Intern projects - 2:44 PM
- Survey is done, but don’t know how to send it out
- Suyash: send it to marketing?
- Change to Outlook forms
- Add a suggestions question
- Add something measurable
- Discounts
- It would have to be signed by James, Maritza, and business owner
- Form is printed out; ideal process would be Devang and/or Nolan bring James along with them to sign it as a representative of Admin
- Digital or paper?
- If paper, James can sign it and the interns can turn it in
- Emails have been sent and managers have been asked -> ghosted
- Chicha San Chen reached out to James asking to renew the student discounts -> Nolan/Devang should call today
- Suyash knows the people who run Tasty Pizza -> recommended to ask them
- Ideally, have something concrete by next meeting because it’s the last meeting of the quarter
- Ben: recycling box in every classroom to throw away used markers
- Convenience thing to not disrupt the teachers’ mojo
- ES is down to do it; they just need concrete details
- Get a rough count of how many classrooms, get teachers’ feedback on how best to spread the bins out, etc.
