    Quick recap

The Technology Committee meeting began with introductions of new members and discussing technology planning approaches with Ron Sha, the acting interim CTO. Ron emphasized that technology should serve as an enabler to solve business problems rather than being implemented for its own sake, and he outlined plans for collaborative district-wide technology implementation while maintaining flexibility to adapt to rapid technology changes.

The committee discussed several urgent issues including ePrintIt printing problems that were recently resolved, concerns about thin client computers in classrooms being inaccessible to students with disabilities and ongoing challenges with ID card systems and Wi-Fi connectivity across campus.

Key discussion points centered around updating the technology plan framework, with members suggesting a two-year planning cycle that aligns with broader strategic goals and identifying the need for better student technology support services and accessibility training for faculty.

    Technology Integration and Policy Alignment

Ron explained that technology should be viewed as an enabler, with a focus on policy and consistent utilization across the district. He emphasized the importance of evaluating technologies annually and synergizing systems between the two colleges. Ron also highlighted the need for collaboration between ETAC and the Foothill Technology Committee to ensure common system platforms, while considering business needs and data security compliance.

    AI Technology Planning Framework Discussion

Ron discussed the need for a more flexible technology planning framework that reviews technologies annually rather than using a five-year plan, emphasizing that technology changes rapidly. He explained that the district is developing AI policies through a working group led by Marina, who will be presented at the next ETAC meeting. Ron stressed the importance of focusing on solving specific business problems rather than just discussing AI implementation, and highlighted concerns about data security when using various AI tools and platforms.

    Gemini Portal Privacy Concerns

Cheryl expressed concerns about privacy when using the Gemini portal. Ron assured her that while data is retained for regulatory compliance purposes, the IT team doesn't intentionally access user information without authorization and follows professional ethics standards. Ron outlined his priorities for the ETAC meeting, including improving guest Wi-Fi sponsorship requirements, enhancing process management workflows and automating manual data entry processes across different departments.

    Classroom Technology Accessibility Concerns

Deborah raised concerns about thin clients in classrooms, particularly noting accessibility issues for students with disabilities who require access technology. She proposed a policy requiring fully ADA-compatible computers in classrooms with thin clients.

    ePrint Station Authentication Issues

Gabriela reported issues with new accounts taking hours to access funds in ePrint stations since the start of the quarter, which Peter confirmed was related to a backend authentication problem that has been corrected. Peter suggested adding new signage at ePrint stations based on updated system changes, and Dennis reported additional login issues with ePrint stations that Peter requested be forwarded to Mark for investigation.

    Student System Access Issues

Gabriela raised concerns about MFA Duo support, noting that while troubleshooting resources exist, students still need human assistance. Deborah highlighted increasing problems with inaccessible integrated e-books and lab materials from vendors like Cengage and Pearson, suggesting the need for an accessibility vendor database to guide instructors toward accessible content.

    Technical and Administrative System Issues

The meeting addressed several technical and administrative issues affecting students and staff at the start of the quarter. Deborah explained that license management is temporarily limited due to a staff member being on sabbatical, but that they can authorize additional licenses when they return. Dennis reported ongoing issues with the ID card and SmartPass system district-wide, with De Anza still experiencing printing problems, and proposed exploring the digital ID card option that has been available since COVID but remains underutilized due to poor communication. The group discussed challenges with accessible workstations in VDI classrooms, with Kevin noting that while AT203 has accessible workstations, instructors often require students to use classroom computers, creating barriers for students with disabilities.

    Technology Committee Planning Meeting

The committee discussed four main goals for their technology plan: student access, faculty and staff professional development, accessibility and enhancing communication with ETS. Key issues identified included the need for student technology support services, improving Wi-Fi connectivity across campus and meeting digital accessibility deadlines by April 2027. Peter announced progress on a new diverse fiber feed project to improve campus internet connectivity, and the committee agreed to explore solutions for student tech support and to continue addressing Wi-Fi infrastructure challenges.
