Revise Certificate/Degree Program


For a certificate/degree program to make the catalog deadline date and be included in the appropriate catalog year, it must have completed all the review and approval stages (not including the Curriculum Committee stage) by the deadline date. If you fail to complete the review and approval process, it means you've missed the catalog deadline date, and your certificate/degree program will go into the following year's catalog.

The instructions below assume you have had eLumen training. If you have not. STOP. Please register and attend a training.

Training dates

INSTRUCTIONS:

  1. Consult with the following people before starting the certificate/degree program revision process:
    • Department Chair
    • Division Curriculum Committee Representative
    • Division Dean

  2. Initiate the "Program - Revision" workflow in eLumen.

    NOTE: A certificate program revision were the total units falls outside of the defined certificate program range is considered a new certificate program and a new certificate program workflow must be initiated. For example, a Certificate of Achievement has a defined unit range of 18-26 and is revised to be 30 units. This will mean a new certificate (Certificate of Achievement-Advanced) program will need to be created instead of a revision on the Certificate of Achievement.

  3. Once your certificate/degree program reaches the Curriculum Committee stage, it will be placed on the Curriculum Committee's technical review agenda.

  4. After the technical review:
    1. If there are no questions, you will be sent the required/recommended changes and a deadline date via eLumen. If you miss the deadline, the consequences are that the course will not be articulated nor printed in the catalog and schedule. In the event, the course will have to be resubmitted to the Curriculum Committee fo review as an action calendar item before the next catalog and before the changes will go into effect. - policy approved by the Curriculum Committee on 10/21/14.
    2. If there are questions, you will be contacted via email to address the questions. If the questions, can be resolved via email, then step 3.a. will apply. If not, you will be invited and required to attend a Curriculum Committee meeting for a discussion of your certificate/degree program.

  5. Foothill-De Anza Board of Trustees - your certificate/degree program will be submitted to the Foothill-De Anza Board of Trustees for review and approval.

  6. State Chancellor's Office Curriculum Inventory - your certificate/degree program will be submitted to the State Chancellor's Office Curriculum Inventory for review and approval.
